Privacy Policy

How we collect, use and look after your personal information — written plainly, in line with UK data protection law.

Last updated: 20 October 2026

This policy explains how Glassvancouver (“we”, “us”) collects and uses personal information when you visit this website, contact us or commission work from our studio. We are committed to handling your data fairly, lawfully and transparently in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Glassvancouver is the data controller for the personal information described in this policy. We are registered in England and Wales under company number 08363517.

  • Address: 15 Alexander Court, Fleming Road, Earlstrees Industrial Estate, Corby, Northamptonshire, NN17 4SW
  • E-mail: [email protected]

Information we collect

When you use our enquiry form, e-mail or telephone us, we may collect:

  • your name, e-mail address and telephone number;
  • the postcode or address of the property where the work would take place;
  • details of your project, such as measurements, preferred styles, timelines and any photographs you send;
  • records of our correspondence with you.

If you become a client, we will also hold information needed to carry out the work, such as delivery and installation details, quotations, invoices and payment records.

When you browse the website, our hosting provider may automatically record technical information such as your IP address, browser type and the pages requested. This is used to keep the website secure and working properly.

How and why we use your information

  • To answer your enquiry and prepare a quotation — because you have asked us to take steps before entering into a contract.
  • To design, make, deliver and install your commission — to perform our contract with you.
  • To keep financial and tax records — to comply with our legal obligations.
  • To keep our website secure and improve our service — based on our legitimate interests in running a safe and effective business.

We do not send marketing e-mails unless you have specifically asked to receive them, and we never sell your personal information.

Who we share it with

We only share personal information where it is necessary, for example with:

  • our website hosting and e-mail providers, who process data on our behalf;
  • trusted subcontractors, such as installers or glass processors, where needed to complete your project;
  • our accountants, insurers and professional advisers;
  • authorities, where we are required to do so by law.

Where any provider processes data outside the UK, we make sure appropriate safeguards are in place as required by UK data protection law.

How long we keep it

Enquiries that do not lead to a commission are kept for up to 24 months, so that we can refer back to them if you get in touch again, and then deleted. Client records, including quotations and invoices, are kept for six years after the end of the financial year in which the work was completed, to meet accounting and legal requirements.

How we protect it

We use appropriate technical and organisational measures to protect your information, including secure (HTTPS) connections to this website and restricted access to our records.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information, where we have no legal reason to keep it;
  • ask us to restrict or object to certain uses of your information;
  • ask for your information to be transferred to another organisation, where applicable;
  • withdraw your consent at any time, where we rely on consent.

To make a request, e-mail [email protected]. We will respond within one month and there is normally no charge.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection, at ico.org.uk or on 0303 123 1113.
